How to use Microsoft Teams to keep your business running smoothly

Published July 2, 2020

With the rise of video conferencing brought on by COVID-19, businesses are having to adapt to an increasingly virtual way of working and connecting with their staff.  While many other programmes can support video calls, Microsoft Teams offers a range of collaborative features which will allow you to work more effectively, from any location. In this article, we will outline the main features of Microsoft Teams and show how you can use it to keep your business running smoothly in these unprecedented times.

Teams and Channels

This section is at the core of what makes Teams so good at getting tasks completed.

A ‘Team’ is a dedicated group of people, working to complete a specific task.  This can be one department, a project team working across multiple departments, or an easy way to communicate with your whole organisation.

Channels are dedicated to specific topics and can be used to share ideas and files, conduct meetings or work together in other apps.

Everything is in one place making it quick and easy to find information.

Chat

Regular social interactions are the easiest way to keep morale up when working remotely, but this does not always require a video call.  With the Chat function, you can send quick, simple messages to your teams to check in and ensure that lines of communication stay open.

Wikis

Working remotely does not mean you have to sacrifice training and developing your team.  The built in Wiki function allows you share articles and how-to examples so your team can still benefit from each other’s knowledge and experience.

Presence Indicator

The presence indicator allows people to see who is available without being in the same building.  You can set your status as available, busy or away from your desk, so your team know whether you are contactable.  There is also a ‘do not disturb’ status for those time when you have a looming deadline and need to work undisturbed.

Links to other apps

Using the integrated system of Office 365, you can access other apps directly from Teams.  Having everything in one place means you no longer need to jump between programmes, making your life easier and more productive.

Multi-platform

Teams runs on any device, whether a PC, Mac, tablet or mobile.  This means you can stay in touch, and productive, wherever you are.

In our opinion, Microsoft Teams is the best product on the market for collaboration and running a business remotely.  We use it to run our business effectively and we believe it can help you run yours.  It is also part of most Office 365 subscriptions, so it is probably ready for you to use.  If you want to find out more about how it could help your business, why not get in touch and we can arrange an online demonstration, using the power of Microsoft Teams of course.
